Domma CMS User Manual

Built-in Tools

Updated by Darryl Waterhouse on 16 October 2026 10 min read

Contacts, Notes, Todo, Calculator, Analytics, SEO and Import from WordPress are part of the CMS. In the sidebar's Tools folder they start in groups by what they are for, alongside the Marketplace Tools: Productivity (Notes, Todo, Calculator, Calendar), Communication (Contacts, email, Messages), Marketing (Analytics, SEO, Feedback), Publishing, Business and Maintenance, so Notes is at Tools > Productivity > Notes. Anything you have already arranged stays where you put it - a site set up earlier may still have them in a Core group. They are on unless you switch them off at the top of the Marketplace (System > Plugins). Switching a Tool off hides it and stops its screens and API; nothing is deleted. Who may use each is a permission under System > Roles (Tools group): the level-0 role and Admin have them all to begin with (Admin is given them once - untick one and it stays unticked); other roles get them when you tick them.

Frequent: your own shortcuts

Frequent is the folder at the top of the sidebar for the Tools you use most. Right-click any Tool in the sidebar and choose Add to Frequent; right-click it again for Move up, Move down or Remove from Frequent. It holds up to twelve, with their count badges. Until you add one it shows a short hint - right-click the folder and choose Hide Frequent until I add a Tool if you would rather not see it. Frequent is yours alone: it is kept in this browser, changes nobody else's sidebar, and only ever shows Tools you are allowed to open. Right-clicking any folder also opens or closes it, or every folder at once.

Hotkeys and the palette

Most Tools have a hotkey: press G, let go, then the Tool's letter - G E opens Email, G D Dashboards. Hover over a Tool in the sidebar to see its key (it is beside Open in its right-click menu too), or press ? for the whole list. Pause after G and a hint appears at the foot of the screen with your Frequent numbers and the letters.

  • Built in: D Dashboards, P Pages, M Media, L Collections, F Forms, V Views, U Users, A Analytics, N Notes, T Todo, C Contacts, and , (comma) Site Settings.
  • Tools: E Email, R Mail Reader, B Blog, K Booking, Y Calendar, O Docs, I Invoices, H Shop, Q Surveys, W Waypoint, J Job Board, S Support. A Pro Tool keeps its Tool's letter - Blog Pro is B too.
  • Frequent: G then 1 to 9 opens the Tools in your Frequent folder, in its order.
  • The palette: Ctrl+K or Ctrl+D (⌘ on a Mac) opens a search box: type part of any Tool's name and press Enter. It finds every Tool, with or without a letter, and shows each one's hotkey.

Hotkeys wait while you are typing in a field or an editor, so they never get in the way of writing. Inside Email, ? still shows Email's own keys. Ctrl+D is your browser's "bookmark this page" elsewhere - in the admin, bookmark with the star in the address bar instead. They cover only the Tools you can open; the letters cannot be changed yet.

Contacts

An address book for each user. Your contacts are private: nobody else sees them, admins included. Star favourites, search as you type, and right-click a contact to edit, email, call, copy, file it in a group, duplicate or delete it.

Groups are shared. Everyone who uses Contacts has the same list of groups, and anyone can file their own contacts in any group. Because renaming or deleting a group changes it for everyone, only the person who created it, or someone holding Contacts > Manage groups (contacts.manageGroups), may do it. The level-0 role holds it and Admin is given it once. Groups made before 0.93.0 have no recorded creator, so only holders of the permission can change them. In Manage groups, Rename and Delete are greyed out where you may not, with a note saying why.

The foot of a contact's card lists what other Tools hold about them, one section per Tool: Bookings, Calls, Events, Quotes and, with Email (Pro), your ten newest emails to or from any of the contact's addresses. Each entry opens where it lives - an email opens in Email. Only your own mailboxes are searched. A Tool that is not installed adds no section.

Call someone now (Pro)

With a Pro Tool that has calls - Booking Pro, Contacts Pro or the Calendar - a contact's menu and an email's menu offer Call Sam now…: a video call on your own site with that one person, starting now. It is not a booking or an event, so nothing goes in a diary. The Call now screen opens with them filled in (or pick a contact, or type a name and email). Tick Email them the link to send them a Join the call button, then click Start the call: the call opens in a new tab with you as the host, and the screen shows their link to copy or send. They need no account or app, and wait until you let them in. The link works for 3 hours. The contact's Calls list shows your recent calls with them.

What is typed in the call's chat is kept with the call. A call on the contact's Calls list shows how many messages it has - click that to read them (only you, as the one who made the call, or an admin). If you open the call again while it lasts, the earlier messages are still there.

Add people while the call is on: as the host, click Add people in the call's control bar, search your contacts and the team, or type a name and email, and click Invite. Each person gets a link of their own - by email, and team members also as a notification and, when Messages is on, a message from you. They knock and you let them in. Copy link gives you a link to pass on yourself. The same button is in online bookings' calls (Booking Pro) and online meetings (Calendar); in a Messages call it rings in another team member.

Blur your background: click Blur on the join screen or in the call's control bar, and everyone sees you sharp against a blurred room. It works out what is you inside your own browser - no picture is sent anywhere to do it, and nothing goes to Google or anyone else. The first time takes a few seconds while it loads; after that your browser remembers the choice for your next call. It needs a reasonably recent computer: if yours cannot keep up, blur turns itself off and says so. Everyone in any call has it - your guests too.

Who may start a call is the Calls permission under System > Roles; Admin is given it once, the first time a Tool with calls runs. A site without any of those Tools has no instant calls at all.

Notes

Private notes for each user, with categories and search.

Todo

To-do lists with priorities and due dates. Each morning, anyone with overdue tasks gets one notification listing them, and one for what is due today. Switch that off under Notifications > Sources ("To-dos overdue or due today").

Where Notes, Todo and Contacts are stored

Recovering changes. These editors offer to keep unsaved changes as a browser draft when you close them. Opening the same item again lets you restore or discard the draft. Drafts belong to your account on this browser; they are not saved to the site until you press Save. Todo also remembers an unfinished task in its quick-add bar. If a list cannot load, use its Retry button rather than treating it as empty.

Trash. Deleting a note, task or contact moves it to that Tool's Trash, including completed tasks cleared together and contacts deleted in bulk. Open Trash and use an item's menu to Restore it or Delete permanently. Restoration keeps its original ID and fields. Items in Trash stay out of normal lists, notifications and contact sharing.

On files, unless the site has a working MongoDB connection (Pro): Notes and Todo then use MongoDB, as their collections declare; Contacts stay on files. A site is never switched to an empty store - while the files still hold notes or to-dos they stay on files, and the server log says so. To settle it, use the collection's Storage move, which keeps every id (see Collections & Forms).

Analytics

Page views and visitors, counted on your own server - no third-party script. Admin pages, the API and browsers that ask not to be tracked are never counted. Analytics Pro, in the Marketplace, adds deeper reports.

The figures show when they last refreshed. If a refresh fails, previous figures are marked stale and Retry fetches them again. The live visitor count also shows when it is unavailable or stale; hover over it for its last refresh time.

SEO

How the site looks to search engines: an audit of every page with a score, each page's search result and share card as they will look, titles and descriptions used twice, redirects (added for you when a page is renamed), the sitemap and robots.txt, and who runs the site. SEO Pro (Marketplace) adds Google Search Console in the admin - searches, clicks and positions, and your sitemap sent to Google by hand or once a day after pages change - verification codes, IndexNow, page speed, rich results, sitemap rules, a not-found log, a link monitor and SEO history. Its own guide is under Plugin guides.

Import from WordPress

Brings a WordPress site across: Tools > Maintenance > Import from WordPress. In WordPress, export everything (Tools > Export > All content) and upload the .xml file. The preview shows what each page, post, file and menu will become before anything changes: pages keep their WordPress addresses where they are free (a taken one gets the next free address), posts go to the Blog (or become pages), media comes from the old site while it is still online or from a zip of its wp-content/uploads folder, and the old addresses - including ?p=123 links - redirect to the new ones. Yoast and Rank Math titles and descriptions carry over. Shortcodes and page-builder layouts this site has no equivalent for are listed as needs rebuilding. Run it again later and it updates what it made, leaving alone anything you have edited here since unless you choose Overwrite. Each run's report is kept.

The page WordPress showed as its home page becomes this site's home page (switch that off in the preview's Home page card). The page this site had at / is never deleted: it moves to /previous-home as a draft, menus that lead to / keep doing so, and the old home page's WordPress address leads to /. That happens once - a later run updates the home page where it is, and leaves it alone if you changed it. An empty page called Blog, News or similar is offered as WordPress's posts page: confirm it and its address leads to the posts instead of an empty page being made. When WordPress showed its latest posts on the home page, you can choose to do the same here.

Notifications

The bell in the admin, and System > Notifications. Opening the screen marks everything read. Its settings choose which sources notify which roles, and whether your browser shows desktop notifications. A notice with no audience goes to admins and above.

System > Search sets up the search box visitors open from the navbar (or with Ctrl+K). It searches pages only. Results follow the visitor's roles: a page they may not open never appears, nor do drafts, noindex pages or pages in a disabled project.

Support

Every site has Support in the sidebar: Domma's email, phone and hours always to hand, and Ask for help to start a conversation with the Domma team - normal or urgent. Replies appear in the admin, with a count on the sidebar badge, and by email. Right-click a request (or use its ⋮ button, or Shift+F10) to mark it read or resolved, archive it or remove it from the list. On a site Domma does not host, Support shows the contact card and an email link only.

Plugins

Tools from the Marketplace (Calendar, Booking, Blog, Feedback, Mail Reader and others) join the same groups in the Tools folder when switched on; one the CMS does not know sits directly in Tools unless the plugin names a group of its own. See Plugin guides for each one you have installed, and Plugins for installing and switching.

Calculator

Choose Floating to keep Calculator alongside your work, or Standard to open its own page. Both offer Basic and Scientific layouts. Use the settings cog in the card header to choose the layout, accent colour, angle units and floating position, or drag the floating card header. MC clears memory, MR recalls it, MS stores the current value, and M+/M− add or subtract from memory. The display previews valid calculations as you type. Scientific functions support degrees or radians. Preferences are remembered in this browser.
